What we collect, why, who else sees it, how long we keep it, and how to make us delete it.

This is a complete draft, not a signed policy. It is published so you can see what we intend to say and hold us to it. A US attorney is reviewing the final wording, and the notes in square brackets are the decisions still open.
What this policy covers
This policy explains what we do with information about you. "We" means Hatka Holding Inc. and the buying partners we work with.
It covers this website, the sample document we email you, the emails we send and calls to or from our phone number.
It is in plain English on purpose. Where a decision is still open, you will see a short note in square brackets.
- We do not sell your information, and we do not pass it to unrelated marketers.
- We ask for a phone number only if you offer one, and we never use it without your recorded consent.
- You can ask us what we hold about you, correct it, or have it deleted, wherever you live.
- If anything here is unclear, write to us at the address in the last section and ask.
What we collect
Everything below comes either from you or from public and licensed property data.
We ask for as little as we can. The funnel is four questions and an email address, and the phone field is optional.
- The property address you type, and the property record and automated value estimate we look up for it.
- Your four answers: your situation, your mortgage, the condition of the house and your timeline.
- Your first name and your email address, which is the only contact detail we require.
- Your phone number, only if you choose to give it, together with the consent record described below.
- Technical data every website receives: IP address, browser user agent, pages viewed, and the time of each.
- For agents: name, brokerage, licence number, contact details and the listing details submitted.
- While you are in the funnel, your answers and a short-lived token sit in your browser session storage.
Where the information comes from
Most of it comes from you. The rest is data about the property, not about you personally.
- From you: the address, the four answers, your name, your email and any phone number you choose to give.
- From public records and licensed property data: property type, beds, baths, size, year built and the last recorded sale.
- From an automated valuation model: an estimated value and a range around it, produced by software.
- From your browser: the technical data above, and the analytics events described further down.
- What you tell us always overrides what the data says.
The consent record
If you tick the box that lets us call you, we store the exact sentence you agreed to. We also store your IP address, your browser user agent and the time. The box is never ticked for you.
In plain English: that record is what we would show a regulator if anyone asked whether you agreed to a call.
The box is unchecked when the page loads. Leaving it unticked does not stop you getting your sample document.
- The sentence stored is: "Yes, you may call me about my options. No robocalls. No text blasts. One person, one call, only if you want it."
- The microcopy shown beside it is: "No robocalls. No text blasts. One person, one call, only if you want it."
- We store that sentence, the version of it you saw, your IP address, your user agent and the time.
- Without that record we do not use your phone number for anything.
- You can withdraw consent at any time, in writing or on a call, and we note the withdrawal on your record.
- We keep consent records for as long as we may need to prove consent. [Counsel: confirm the record-keeping period.]
How we use it
We use your information to do the thing you asked for, and to work out whether the property is one we can buy.
- To look up the property and produce your sample document.
- To email you that document, with the signed download link that goes with it.
- To call you once about your options, if you ticked the consent box and gave us a number.
- To decide whether the property fits what we and our buying partners buy.
- To keep records that show what you agreed to, and when.
- To keep the site working and to stop abuse, such as bots submitting addresses at scale.
- A score is calculated automatically to sort enquiries, but a person decides what we do about yours.
What we never do with it
- We do not sell your information, and we do not rent it or trade it.
- We do not pass it to unrelated marketers, lead brokers or list buyers.
- We do not make automated outbound calls, and we do not send text blasts.
- We do not put your personal details in a web address, in analytics properties, or in our error logs.
- We do not use your information for anything you would be surprised by.
Sharing with our buying partners
Some houses are bought together with buying partners. The details you give us may be shared with a partner who could be the buyer of record.
A partner sees what it needs to evaluate the house and to talk to you. That is the address, the property data, your answers and your contact details.
- A partner is bound in writing by the promises made on this site before any lead reaches them.
- The buying partner is named in your paperwork before you sign anything.
- You can tell us not to share your details with a partner. That may mean we cannot make an offer.
- Partner standards are written and cover the servicer, insurance, communication and the use of your details.

Service providers
These companies process data on our behalf, under contract, and only to provide their service to us.
- Hosting and application platform: Vercel.
- Database and file storage: Supabase.
- Email delivery: Resend.
- Property data and automated valuation: RentCast.
- Address autocomplete: Google Maps Platform.
- Bot protection: Cloudflare Turnstile.
- Rate limiting: Upstash.
- Background jobs: Inngest.
- Product analytics: PostHog, proxied through our own domain.
- Error monitoring: Sentry.
- Internal lead alerts: Telegram, to a private group only our team can see.
- Telephony and call recording: [vendor to be named before the phone line goes live].
- A provider joins this list before it starts processing anything about you, not afterwards.
Analytics and cookies
We measure how the site is used so we can fix what is broken. We keep that measurement as thin as it can be.
- Product analytics runs through our own domain, so your browser does not talk to the analytics vendor directly.
- We do not capture what you type, and session recording is off by default.
- Analytics events carry a hashed reference to your enquiry, never your name, email, phone number or address.
- The analytics tool stores an identifier in your browser, in local storage and in a cookie.
- Sign-in cookies exist only for our own staff on the admin pages.
- We do not show a cookie banner today. [Counsel: confirm whether one is required in the states we operate in.]
Calls and recording
The number on this site is answered by an automated assistant. It says so at the start of the call, before anything else.
- Calls are recorded, and the recording notice is given at the start of every call.
- Recording rules differ from state to state, so we announce the recording on every call, not only where the law requires it.
- Callbacks are made by a person, not by an automated voice.
- Recordings and transcripts are used to answer you, to check quality, and to keep a record of what was said.
- Call recordings are kept for [period — owner decision].

How long we keep it
We keep information only while it is useful. The timings below are the ones our systems actually run, not aspirations.
- If you enter an address and never reach the email step, that partial record is deleted automatically after 30 days.
- Deleting it removes the property lookup, any calculation and any document generated from it.
- We keep a full enquiry, one with an email address, while it is live. After that it is kept for [period — owner decision; proposed 3 years].
- At the end of that period the record is de-identified: name, email, phone and address go, and anonymous counts stay.
- That de-identification sweep stays switched off until the owner sets the period and this page states it.
- Consent records are kept for as long as we may need to prove consent.
- Download links for your sample document expire after 7 days.
- The document itself is deleted when the enquiry it belongs to is deleted.
Access, correction and deletion
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. We answer whoever asks, wherever you live.
- Write to us at the contact address below and tell us what you want us to do.
- We answer within 30 days. If we need longer, we tell you why before that deadline passes.
- We check that the request really comes from you, usually from the email address on the record.
- A deletion request removes your enquiry, the documents made from it and any call records.
- Anonymous counts of what happened stay behind, because they no longer identify anyone.
- We may keep what the law requires us to keep, such as a record of consent or a signed contract.

The sample document you asked for is a transactional email. It is sent because you asked for it, whether or not you subscribe to anything.
- Every non-transactional email carries an unsubscribe link, to /unsubscribe on this site, and our postal address.
- Opt-outs are honoured within 10 days, and usually the same day.
- Unsubscribing stops the follow-up emails. It does not delete your record, and you can ask for that separately.
- We send from one domain of our own, and we never send email on behalf of anyone else.

Children
- This site is for adults selling property. It is not directed at anyone under 18.
- We do not knowingly collect information from a child.
- If you believe a child has given us information, tell us and we will delete it.
How we protect it
- Traffic to and from this site is encrypted in transit.
- Access to enquiry data is limited to the people who need it, and admin actions are logged.
- Sample documents sit in a private store, reachable only through a signed link that expires.
- Your personal details never appear in a web address, in analytics properties or in our error logs.
- No system is perfectly secure, so we do not claim ours is.
- If a breach affects your information we will tell you and the regulator where the law requires it.

Changes to this policy
- When this policy changes, the new version appears on this page.
- If a change is material we note it at the top of the page, so you can see what moved.
- This page carries a draft banner until counsel has signed the final wording off.
